Terms of Service
Last updated: 17 July 2026
These terms govern your use of Seatly, the seating plan service available at seatly.net (the “Service”). The Service is operated by Vulpine Works Ltd (“we”, “us”), a company registered in England and Wales. By creating an account or using the Service you agree to these terms. If you are using Seatly on behalf of an organisation (for example a venue), you confirm you have authority to bind that organisation to these terms.
1. The Service
Seatly lets you design seating plans, manage guest lists, assign seats, share plans, and export them. Some features are free; others require a paid plan as described on our pricing page. We may improve or change features over time; if a change materially reduces what a paid plan includes, we will tell you in advance.
2. Your account
- You must provide accurate account information and keep your login secure.
- You are responsible for activity that happens under your account.
- Venue team members you invite get access to your team’s plans; you are responsible for who you invite and what they do with that access.
3. Payments, renewals and cancellation
- Payments are processed by Stripe. We do not see or store your full card details.
- Subscriptions (Pro, Venue) renew automatically — monthly or annually, as chosen at checkout — until cancelled. You can cancel any time from your account settings via the billing portal; your plan stays active until the end of the paid period and is not renewed after that. No partial refunds for unused time, except where the law requires otherwise.
- The Event pass is a one-time payment that permanently unlocks a single plan. It does not expire and does not renew.
- Prices are shown at checkout and may change; changes never apply retroactively to an already-purchased Event pass or an in-progress billing period.
- If a renewal payment fails and remains unpaid, your account may return to the free tier. Your plans are never deleted for non-payment.
4. Your content
- The plans, guest lists and other content you create remain yours. We claim no ownership.
- You grant us the limited licence needed to operate the Service — storing your content, displaying it back to you and to people you share it with, and generating your exports.
- Guest information you upload (names, dietary needs, notes) is personal data about other people. You are responsible for having a lawful basis to use it and for keeping it accurate. See our Privacy Policy for how we handle it.
- You must not upload content that is unlawful, or that you have no right to use.
5. Acceptable use
Don’t misuse the Service: no attempting to breach security, no scraping or bulk extraction of other users’ data, no reselling the Service without our agreement, and no using it to send spam or host malicious content. We may suspend accounts that break these rules, contacting you first where reasonable.
6. Share links
Share links make a read-only view of a plan available to anyone who has the link (and PIN, if you set one). Think before sharing: you control who receives links and can revoke them from within the app.
7. Availability and support
We aim to keep Seatly available and your data safe, but the Service is provided “as is” without warranties of uninterrupted availability. We recommend exporting important plans before your event. Support is provided by email at hello@seatly.net.
8. Liability
Nothing in these terms limits liability that cannot be limited by law (including for death or personal injury caused by negligence, or fraud). Otherwise, our total liability arising out of the Service in any 12-month period is limited to the amount you paid us in that period, and we are not liable for indirect or consequential losses, or for loss of profit, revenue or data. The Service is a planning tool; you remain responsible for checking your plans before your event.
9. Ending your account
You can stop using Seatly and delete your account at any time. We may terminate or suspend accounts for serious or repeated breaches of these terms. On account deletion your content is removed as described in the Privacy Policy.
10. Changes to these terms
We may update these terms as the Service evolves. For material changes we will give notice (for example by email or in the app) before they take effect. Continuing to use the Service after a change takes effect means you accept the updated terms.
11. Governing law
These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction — although if you are a consumer you keep any rights to bring proceedings in your own country and any mandatory consumer protections that apply there.
